Privacy Notice

Hartford Civic Society (HCS) needs to hold certain personal information about its members, past members and those interested in its activities in order to achieve its objectives.  Hartford Civic Society is a Charitable Incorporated Organisation registered in England and Wales, number 1171256.

1. Information about you

We will collect personal information from you when you or your organisation enquire about our activities, register as a member with us or use one of our services.  This may include your name, title, email address, physical address, telephone numbers and whether you have signed a Gift Aid declaration.  It may include the names and numbers of adults and persons under the age of 18 in your household.  We may also ask for some additional relevant information such as the type of our activities you may be interested in, and whether and how you might help us achieve our objectives.  If we might make payments to you (e.g. Village Lottery winnings) and you chose to provide it, we might record your bank sort code and account number, in order that we can send money by electronic transfer.

2. Our use of this information

2.1  We will only use your personal information to:

·         allow us to produce our accounts and maintain our records,

·         inform you about our activities and promote our events and objects, and

·         promote and run the Village Lottery.

2.2 We will not share your information with anyone else.

3. Security

3.1 We will take reasonable precautions to prevent the loss, misuse or alteration of information you give us.

3.2 Communications in connection with HCS may be sent by e-mail.  Communications will not be sent in an encrypted form.  E-mail, unless encrypted, is not a fully secure means of communication.  Whilst we endeavour to keep our systems and communications protected against viruses and other harmful effects we cannot bear responsibility for all communications being virus-free.

3.3 Any e-mail communications, other than e-mails specifically to you (e.g. regarding your membership), will include a link to update your preferences or unsubscribe from e-mail altogether.

4.1 If you would like us to correct or update any information, or if you would like information deleted from our records, then please email us (see below).

4.2 This privacy notice may be updated from time to time, so please check it periodically.

5. Changes to our privacy policy

We will keep our privacy policy under regular review and will place any updates to this notice on our website www.hartfordcivicsociety.org.uk .  This privacy notice was last updated on 30 April 2018.
